Material Issue Slip: Meaning & Format
Material issue slip, in short
A material issue slip is the store document that records material handed out from the store to a department, machine or job. It captures the item, quantity, cost centre and who received it. Every issue reduces stock and charges the cost to that cost centre.
Also called: Store issue note, Issue slip, Material issue note, Stores requisition slip
Material leaves the store in two ways: on a record, or off it. The material issue slip is the record.
What it contains
- Issue number and date
- Against indent number, if any
- Department and cost centre (for example "Grinding" or "Kiln 2")
- Machine or job, where relevant
- Item code, description, quantity and unit
- Issued by (storekeeper) and received by (user)
Why cost centre matters
An issue slip that says "Maintenance" tells you very little. One that says "Kiln 2 – gearbox" tells you where the money went. When every issue is charged to a cost centre, you can compare consumption month by month, spot a machine eating bearings twice as fast as its twin, and act before it fails.
Example
The grinding section normally consumes 40 bearings a month. This month it drew 95. Issue slips charged to the right machine show the extra went to one grinder, which turns out to have a misaligned shaft. The repair costs far less than a year of excess bearings. (Illustrative example.)
Returns and scrap
Unused material should come back to store on a return note, not sit at the machine. Worn parts that are replaced should be recorded as scrap so the scrap yard reconciles with issues.
Common problems
- Material taken without a slip "just this once"
- Slips written after the fact, from memory
- Everything charged to one general cost centre
- No returns recorded, so stock on paper is lower than on the shelf
These gaps show up as wrong balances in the store ledger.
How IndustryPrime handles it
Material is issued against indents and charged to cost centres. IndustryPrime tracks consumption cost-centre by cost-centre, records scrap generation, and flags abnormal consumption so you can act early. Scrap management is built in. See consumption control.
