Store & Purchase Management Software for SME Manufacturers

Indent, approval, PO, GRN and live stock in one system. Every PO rate is checked against your last buy.

Overview

What is store & purchase management software?

Store & purchase management software runs a manufacturer’s buying and stock in one system: indent, approval, purchase order, goods receipt (GRN), issue and live stock. IndustryPrime also checks every PO rate against your last buy.

The purchase-to-store cycle, step by step

Every rupee a factory spends on material passes through seven steps. Store and purchase software connects them, so what is entered once is seen by everyone who needs it.

1. Indent

Someone needs material and raises an indent, or purchase requisition. In IndustryPrime it is raised from any device and routed for approval. Below the reorder level, the system suggests one itself. See indent management software.

2. Approval

The store head, plant head or owner approves. On paper that waits until the approver is back. In IndustryPrime it happens on a phone, with stock and the last purchase rate on screen. See mobile approvals.

3. Enquiry and quotation comparison

The purchase team sends a request for quotation (RFQ) to several vendors. Instead of a hand-built Excel comparative statement, IndustryPrime sends the enquiry in one click and builds the comparison. See quotation comparison software.

4. Purchase order

The chosen vendor gets a purchase order. IndustryPrime checks every PO rate against your purchase history, shows any increase before approval, then tracks the order to delivery. See purchase order software and the PO process.

5. Goods receipt (GRN)

The store records a goods receipt note: what came, how much, the QC result and any rejection. It is matched to the PO with the invoice attached, the basis of a three-way match. Each GRN then reaches Tally as a purchase voucher. See GRN software.

6. Issue

Material leaves the store on a material issue slip, booked to a cost centre. Equipment leaving the plant for repair uses a gate pass. See stores and inventory and consumption control.

7. Reports

Stock value, consumption, dead stock, pending POs and payments. If the first six steps are recorded, these are always current. If not, the store ledger is right only on the day of the physical count.

What goes wrong on paper and Excel

Most Indian SME manufacturers still run store and purchase on registers, Excel, phone calls and WhatsApp. It works while the plant is small, then breaks in predictable ways:

  • Approvals wait for one person. When the owner travels, indents and POs queue up.
  • Rates are checked from memory. Looking up the last rate for every PO line takes too long by hand.
  • Stock figures drift. Late entries mean the register stops matching the shelf.
  • Short supply gets paid. The invoice says 1,000, the store received 960, and 1,000 is paid.
  • Dead stock hides. Spares for replaced machines sit for years because no report shows them.
  • Stockouts stop production. A low-value item runs out because no one had time to track its safety stock and lead time.

Each has its own page: reduce purchase cost, prevent stockouts, clear dead stock.

Must-have checklist

Use this list to compare store and purchase management software.

  • Payment tracking against each PO, including advances

Store

  • GRN matched to the PO, with quality check, rejections and invoice attachment

  • All store registers generated automatically

Control and reports

  • Dead and slow-moving stock reports

Practical

  • Works in a browser, on a phone app, and on slow internet
  • Excel upload for items, vendors and opening stock
  • No per-user licence fees, so the whole team can use it
  • Data hosted securely with regular backups
  • Integration with your accounting software

Store software vs ERP vs Tally

Tally is accounting software: the bill, the ledger, GST. It does not run indents, approvals, quotation comparison, GRN quality checks or cost-centre issue. Plants usually keep Tally for accounts; IndustryPrime posts each GRN to Tally as a purchase voucher; see Tally integration.

A full ERP covers everything from sales to HR. It can do store and purchase, but it is costly, slow to implement and heavy for a storekeeper. Many SMEs buy one and still run the store on Excel.

Store and purchase software like IndustryPrime does one job deeply: indent to issue. It is built for the store team, live in weeks rather than months, and sits alongside Tally or SAP.

Who uses it in the plant

  • Owner or director: pending approvals, PO rates against the last buy, stock value and consumption, on a phone.
  • Purchase head: enquiries to several vendors, automatic comparison, every order tracked to delivery and payment.
  • Storekeeper: indents, receipts and issues on text-first screens. Registers update themselves.
  • Plant heads, shift in-charges and maintenance: raise indents and see their status without calling the store. With unlimited users, every supervisor gets a login.
  • Accounts: GRNs with the invoice attached and quantities matched to the PO, plus advances against each PO.

Signs you have outgrown Excel

You probably need dedicated software if several of these are true:

  • More than one store, division or plant
  • Hundreds or thousands of item codes, with duplicates nobody has cleaned up
  • The owner approves purchases on WhatsApp, and approvals wait when they travel
  • Physical stock counts rarely match the register
  • Emergency purchases happen every month
  • Nobody can say quickly how much stock has not moved in a year
  • Vendors are paid from the invoice, not from what the store received

Questions to ask in a demo

  • Can you show the whole cycle, from indent to issue, on one item?
  • How does the system catch a PO rate that is higher than the last purchase?
  • What happens at the gate when short or rejected material arrives?
  • How are items, vendors and stock loaded on day one?
  • How long until our team is live, and who trains them?
  • What does it cost when we add users or a new division?
  • How fast is support, and how is it reached?

How implementation works

  1. Excel upload. Your items, vendors and opening stock come in from Excel. No manual data entry.
  2. Setup. Divisions, stores, cost centres and approval rules, configured with you.
  3. Training. Hands-on, for store, purchase and approvers, until everyone is comfortable.
  4. Live in 14 days. Your team is working in the system within two weeks, in writing.
  5. Support. Every concern raised on WhatsApp, email or phone gets a fix or a dated answer within a working day.
