What is reorder level alert software?
Software that watches live stock against a reorder level set from daily usage and vendor lead time, and lists the item for reorder when stock falls to it, so the indent goes out before the item runs out.
What one missing item really costs
Ask any plant owner about their worst production day and there is usually a small item in the story: a bearing, a V-belt, a gasket. A few hundred rupees stopped a line that earns lakhs a day.
Then someone buys from the market at whatever price is on offer, and in an emergency there is no time to compare prices.
Why stockouts keep happening
Most stockouts are not surprises. The item was used every day; the warning sat in a register, or in an Excel sheet last updated a week ago.
Stock is not live. Entries written up at week end hide the true balance.
No reorder level. Without a minimum, the only trigger is an empty bin.
Indents get lost. A request sits on a desk or in a WhatsApp chat and never becomes an order.
Nobody knows what is on the way. People reorder what is already coming, or wait for what is not.
How IndustryPrime keeps material ahead of production
Live stock from every movement
Every goods receipt adds stock and every issue removes it, with transfers and adjustments recorded too. The balance on screen matches the shelf, and you can check it on your phone.
Min and max on the items that matter
Set a minimum and maximum per item. The reorder level guide shows how to set it from daily usage, vendor lead time and a safety stock buffer.
Suggested order quantity
The purchase team sees how much to order to get back to the maximum: enough to avoid a stockout, not so much that it sits for months.
Indents that cannot get lost
The low-stock items you tick become one indent, which routes itself for approval. Open indent visibility shows every request not yet ordered, and pending POs are tracked till receipt.
Where to start
Start with the 50 to 100 items that have stopped production before. Set their levels, let the alerts run for a month, then extend to the rest of the store.
For wider stock discipline, read the inventory-to-profit connection.
How it works
Stop stockouts, step by step
- 1
Set min and max for each item
Upload items from Excel with min and max levels. Refine them later.
- 2
Stock updates on every receipt and issue
Every GRN adds stock and every issue removes it. Screen matches shelf.
- 3
Get warned before you hit zero
Items at reorder level are flagged, with a quantity to reach the maximum.
- 4
Track it until it arrives
Open indents and pending POs show what is asked for and still coming.

FAQs
Frequently asked questions
How do I decide the reorder level for an item?
Start with how much of the item you use per day and how many days the vendor takes to deliver, then add a small buffer. Our glossary page on reorder level walks through the formula.
What is suggested order quantity?
When an item falls below its minimum, IndustryPrime suggests how much to order to bring it back up to the maximum level you set.
Will I know if an indent was raised but never ordered?
Yes. Open indent visibility shows every indent that has not yet been converted to a purchase order, so requests do not get lost between store and purchase.
How does my team know an item is running low?
Items below their minimum level show in the reorder list with a suggested order quantity, so the store sees what to raise an indent for.
Does this work if my stock figures are wrong today?
Alerts are only as good as the stock balance. Most plants do a physical count when they go live, load it from Excel and then let receipts and issues keep it accurate.

- GlossaryReorder levelReorder level is the stock quantity at which a new order must be placed so fresh material arrives before stock runs out. The standard formula is: reorder level = average daily usage × lead time in days + safety stock.
- GlossaryMin-max inventoryMin-max inventory is a stock control method where each item has a minimum level (the reorder point) and a maximum level. When stock falls to the minimum, you order enough to bring it back up to the maximum. It prevents both stockouts and overstocking.
- GlossarySafety stockSafety stock is the extra quantity of an item kept as a buffer against late deliveries or higher-than-normal usage. It is the part of stock you plan never to touch in a normal cycle. A simple formula is: (maximum daily usage × maximum lead time) − (average daily usage × average lead time).
