Tally integration

Tally integration: every GRN reaches Tally without a second entry

The store records the GRN once. IndustryPrime sends it to Tally as a purchase voucher, and Tally's voucher number is saved against the GRN.

What is Tally integration in purchase software?

In IndustryPrime, Tally integration sends each goods receipt (GRN) to Tally as a purchase voucher, so accounts do not type it again.

The same GRN, typed twice

A truck is unloaded and the store enters the GRN: vendor, items, accepted quantity, the invoice number. Two days later the bill reaches accounts, and the same receipt is keyed into Tally again: vendor, invoice number, value, GST at each rate.

Two people enter one receipt. At month end someone matches the two copies line by line, looking for the one where the value or the GST came out different.

One entry, in the store

With IndustryPrime, the GRN is the only entry. Once its accepted quantity is in stock, the GRN is ready for Tally. The Tally connector asks IndustryPrime for that company's GRNs not yet in Tally, and each one is sent as a purchase voucher.

The connector asks for one company at a time, and gets only GRNs from that company's stores, so one company's receipts never arrive mixed with another's.

What goes into the voucher

Each voucher is built from the GRN and its purchase order:

  • Voucher type Purchase, dated on the GRN date and carrying the GRN number
  • The vendor as the party ledger, with the vendor's GSTIN
  • The supplier's invoice number and date as the reference
  • Purchase value grouped by GST rate, each to a ledger such as "Purchase 18 %"
  • CGST and SGST at half the rate each, or IGST at the full rate, taken from the PO line
  • A round-off line, so the vendor amount is a whole rupee
  • A narration with the challan number, LR number, vehicle number, transporter and e-way bill number

Accounts open Tally and find the receipt already there, with the tax split the PO agreed.

The voucher number comes back

When Tally accepts the voucher, its voucher number is sent back and saved against the GRN. From then on that GRN is not sent again. A GRN that has not been confirmed stays in the waiting list and is picked up the next time the connector asks.

When accounts post bills by hand

Some plants keep posting bills in Tally themselves. The Pending for Tally Entry screen lists the bills waiting for accounts, filtered by date, store, vendor or GRN number. Accounts enter the Tally reference number, and the bill moves on to pending bills for payment. The same reference number cannot be entered for two bills, and it shows on the bill register and the payment sheet.

What it does not do

  • It is not a two-way sync. GRNs go to Tally and the voucher number comes back. IndustryPrime does not read ledgers, balances or payments from Tally.
  • Only GRNs are posted. Purchase orders, material issues and payments are not sent to Tally.
  • Freight, packing and forwarding, and loading charges do not get ledger lines of their own in the voucher.
  • It does not replace Tally. Your books, ledgers and GST returns stay in Tally. IndustryPrime runs the purchase and store work before the bill: indent to GRN.

Where this fits

Tally integration is the last step after the GRN. The GRN is recorded against its purchase order, the supplier invoice can be checked against both (a three-way match), and the receipt then reaches Tally without being typed again.

GRNs to Tally are included in the plan; see pricing. To see a GRN reach Tally on your own data, book a demo.

How it works

Tally integration, step by step

  1. 1

    The store records the GRN

Accepted quantity goes into stock. From then on, the GRN is ready to go to Tally.

  2. 2

The Tally connector collects new GRNs

It asks IndustryPrime for one company's GRNs that are not yet in Tally.

  3. 3

Each GRN becomes a purchase voucher

The vendor's ledger is credited. The purchase ledger and the GST ledgers for each rate are debited.

  4. 4

    The voucher number comes back

Tally's voucher number is saved against the GRN, and the GRN is not sent again.

FAQs

Frequently asked questions

Do we still need to enter GRNs in Tally by hand?

No. Once a GRN has put its accepted quantity into stock, the Tally connector picks it up and IndustryPrime sends it to Tally as a purchase voucher, with the GST already split by rate.

Which ledgers does the voucher use?

The party ledger is the vendor's name as it appears in IndustryPrime. Purchase value goes to a ledger named by GST rate, such as "Purchase 18 %". Tax goes to "CGST 9 %" and "SGST 9 %", or to "IGST 18 %", and any paise difference to "Round Off". Check at setup that your Tally company has ledgers with these names.

What happens if a GRN does not reach Tally?

It stays in the list of GRNs not yet in Tally, and the connector picks it up again the next time it asks. A GRN leaves that list only when Tally's voucher number comes back for it.

Is it a two-way sync with Tally?

No. GRNs go from IndustryPrime to Tally, and only the voucher number comes back. IndustryPrime does not read ledgers, balances or payments from Tally. Bills and payments are tracked in IndustryPrime as advised, checked and paid.

We post bills in Tally ourselves today. Can IndustryPrime still track them?

Yes. The Pending for Tally Entry screen lists bills waiting for accounts. Accounts enter the Tally reference number once, the bill moves on to payment, and the same reference number cannot be used for two bills. It then shows on the bill register and the payment sheet.

Does Tally integration cost extra?

No. GRNs to Tally are part of the plan. SAP integration is set up for your SAP system and quoted separately.
