What is vendor management software?
Vendor management software keeps one record per supplier: GST, PAN, bank details, items supplied, and every enquiry, quote, order and receipt, so the purchase team chooses with the full record in front of them.
Three vendor lists, none of them complete
Purchase keeps vendors in an Excel sheet. Accounts has the bank details in Tally. The store knows who delivers what. The same supplier sits in two places under two spellings.
When an urgent indent comes in, the enquiry goes to whoever is remembered, not to every vendor who has supplied that item before.
One vendor master for the whole plant
Each vendor is added once: GSTIN, PAN, bank account and IFSC, contacts, the item groups and makes they supply, and their MSME certificate. A repeated GSTIN is stopped. A bounced email is marked in red.
Approval and blacklisting, on record
New vendors go through the approval levels you set, and each approval is saved with the approver's name. Blacklisting works the same way, with a reason, name and date. A blacklisted vendor drops out of new enquiries.
The right vendors on every enquiry
On a new enquiry (RFQ), up to ten suggested vendors are starred, last-year suppliers first. Mandatory vendors are marked. Beside each: enquiries sent, quotes received, orders placed and last PO date.
Vendors quote from an emailed link without logging in, and the quotes go straight into the quotation comparison.
Each vendor's history in one place
The vendor purchase history report lists every PO line for a vendor: item, make, rate, discount, GST, pending quantity and bill. The vendor summary shows what you bought from each vendor each quarter and its share of total purchase.
What it does not do
- No vendor score. It does not rate vendors for on-time delivery or quality. Rejections are recorded on each GRN, not rolled into a rating.
- No vendor login or portal. Vendors quote and receive updates through email links.
- No check against the GST portal. It checks a GSTIN's length and that it is not already in your list.

How it works
Vendor management, step by step
- 1
Add the vendor once
GST, PAN, bank and contact details. A repeated GSTIN is stopped.
- 2
Approve before you buy
Approvers clear each new vendor, level by level, with name and remark.
- 3
Send enquiries to the right vendors
Up to ten suggested vendors are starred, last-year suppliers first. Tagged vendors are marked.
- 4
Check the record before you decide
Enquiries, quotes and orders per vendor, and every past purchase line.
Sees every vendor rate going up or down
“I have been using IndustryPrime for almost a year now, and it has already solved about half of my problems. On the purchase side, I can clearly see vendor rates, whether they are going up or coming down. On the store side, I know which material is being issued and when. With the support of the IndustryPrime team, I now want to start using the remaining features properly. I would recommend it to everyone, especially in the steel sector. Presently, it's working very well for us.”

FAQs
Frequently asked questions
What details can we keep for each vendor?
Name, addresses, contacts, GSTIN, PAN, bank account with IFSC, a category (GST registered, unregistered or composition, foreign, or individual), your own classification, the item groups and makes they supply, and their MSME certificate.
Can the same vendor be entered twice?
Not with the same GSTIN. For a GST-registered vendor the GSTIN must be 15 characters, and a second vendor with the same GSTIN cannot be created. The person adding it is shown the existing vendor instead.
How does blacklisting work?
Someone requests it with a reason, and it goes through the approval levels you set. Who blacklisted the vendor and when is recorded, and the same route lifts it. A blacklisted vendor no longer appears for new enquiries.
Can we make some vendors mandatory for certain items?
Yes. Tag a vendor to an item, an item group or a make. Whenever an enquiry is made for a matching item, that vendor is marked as mandatory on the enquiry screen.
Does the vendor hear from us after delivery?
Yes. When a GRN is made, the vendor gets an email listing each item with challan, accepted and rejected quantity. When a bill is marked paid, the vendor is emailed as well.
Can we bring our existing vendor list?
Yes. Vendors come in through an Excel upload with name, address, contacts, GSTIN, PAN and item groups, so your team does not retype them.
