Best Purchase & Store Management Software for Indian Manufacturers (2026)

How to choose purchase and store management software for an Indian SME manufacturer in 2026: the features that matter, the real options in each category, published prices, Tally support and who each one suits.

13 August 2026 · 9 min read

For an Indian SME manufacturer, the right purchase and store software covers indent, approval, purchase order, goods receipt and live stock in one system that your store and purchase teams will use every day. The options fall into four groups: accounting software with purchase features (Tally, Busy, Marg, Zoho Inventory), full ERPs (SAP Business One, ERPNext), procurement and factory tools (TYASuite, Precoro, TranZact, IndustryPrime), and enterprise suites (SAP Ariba, Procol, Kissflow). This guide explains what to look for, then describes each option fairly, including when it is the wrong choice.

A note on who wrote this. IndustryPrime publishes this guide, and IndustryPrime is one of the options in it. We describe every product, including ours, from its own website and published price list, as of October 2026. Sources are listed at the end. Prices change, so check each one before you decide.

Why purchase and store software matters for SME manufacturers

In most small and mid-sized factories, purchase and store still run on paper indents, phone calls and spreadsheets that do not talk to each other. The result is slow approvals, wrong stock figures, emergency buying at higher rates, and no clear view of where money goes. Purchase and store software puts every step in one system, so each purchase carries a record of who raised it, who approved it and what was paid.

Features to look for

Indent and requisition

Staff should be able to raise an indent online, and anyone should be able to see its stage at any time, so no slip gets lost. It helps if the system shows current stock and open indents for the item, so the same thing is not indented twice.

Approval workflow

Approvals should follow your rules: by amount, department or division. Each approval should be recorded with a name and a time.

Quotation comparison and purchase order

You should see every supplier's quote side by side, item by item, with the lowest rate clear. When you raise the PO, the last rate you paid for the item should be visible, so a higher rate is caught before approval.

Goods receipt note (GRN)

When material arrives, the GRN should be matched to the PO, with short supply and rejections recorded and the quantity still to come shown.

Live stock

You should see quantity and value for every item, by store, with controlled issue and reorder levels, so you reorder before production runs short.

Accounts connection

Most SME manufacturers keep accounts in Tally. Ask exactly what reaches Tally, when, and how you will know if an entry failed. If you want to replace Tally altogether, you are looking for an ERP.

Ease of use and India readiness

Check for GST on documents, rupee pricing, a mobile app for approvals, and support that answers in your working hours. Above all, check that a store keeper can use it without long training.

The options, by type

Accounting software with purchase features: Tally, Busy, Marg, Zoho Inventory

TallyPrime records purchase orders, receipt notes against them, rejections out, and reports on orders still outstanding. As of October 2026, Tally lists Silver at ₹22,500 plus GST for one user and Gold at ₹67,500 plus GST for unlimited users on a local network, both one-time, or rental from ₹750 and ₹2,250 a month. Busy and Marg, also accounting and billing software, offer purchase orders and purchase challans. Zoho Inventory is cloud inventory and order software with purchase orders, purchase receives and e-way bills; its India plans run from free to ₹7,499 a month per organisation, billed annually, for 1 to 10 users, and it connects to Tally through a third-party connector.

Suits: a small factory with one store and a few people doing purchase, where accounts are the main need. Less suited to: a plant that needs indents from many departments, quotation comparison and multi-level approvals. These products are built around accounts and billing, so check how each one handles that work before you rely on it. Many Tally partners also sell add-ons for purchase work; ask to see one running at a plant like yours.

Full ERPs: SAP Business One, ERPNext

SAP Business One is SAP's ERP for small and midsize businesses, covering accounting, sales, purchasing, inventory and production, on your own server or in the cloud. It is sold through partners, and SAP does not publish a price. ERPNext is free, open-source ERP (GPL-3.0) covering procurement, stock, manufacturing and accounting. Hosting on Frappe Cloud starts at USD 5 a month per site, and Indian GST e-invoice and e-way bill come through the open-source India Compliance app.

Suits: a plant that wants one system for accounts, sales, purchase and stock, and has a partner or in-house IT team for the rollout. Less suited to: a plant that wants to keep Tally and fix only purchase and store.

Procurement and factory tools: TYASuite, Precoro, TranZact, IndustryPrime

TYASuite is a Bengaluru cloud ERP and procure-to-pay suite for small and midsize businesses, with RFQ, purchase orders, inventory, vendor management, invoice automation and GST handling. Capterra India shows it at 4.2 out of 5 from 78 reviews. We could not confirm a current price from its own site.

Precoro is a cloud procurement tool priced in US dollars, pounds and euros: from USD 499 a month (Core) or USD 999 a month (Automation), billed annually. Its India page describes line-level GST, separate handling for each GSTIN, and TDS and TCS rules. It lists QuickBooks, Xero and NetSuite integrations; Tally is not mentioned.

TranZact is cloud software for Indian MSME manufacturers covering sales, purchase, inventory and production, with accounts kept in Tally through a one-way sync. Plans, billed yearly: ₹12,500 a month for 6 users or ₹30,000 a month for 12 users, with extra users charged.

IndustryPrime is cloud purchase and store software for Indian plants such as steel, sponge iron, TMT, rolling mills and plastics. It runs indent, RFQ, quotation comparison, PO, GRN, invoice check against the GRN and payment tracking, with live stock. Each GRN is posted to Tally as a purchase entry and the voucher number comes back. One plan with every feature: from ₹10,000 a month per division, billed quarterly, with unlimited users. Plants go live in 14 days from an Excel upload.

Suits: a plant whose store and purchase teams still work on registers and Excel and want one connected buying cycle. How to pick between them: TranZact if you also want sales and production in the same system and have a small, fixed set of users. IndustryPrime if many people across the plant raise indents or approve and you want to keep Tally for accounts. Precoro if you have entities outside India. TYASuite if you want procure-to-pay across many kinds of spend, not only factory material.

Enterprise suites: SAP Ariba, Procol, Kissflow

SAP Ariba runs sourcing, contracts, buying and invoicing for large companies, usually on top of SAP ERP, with suppliers trading through SAP Business Network. Procol sells AI-led sourcing, e-auctions and procure-to-pay to more than 250 enterprises. Kissflow Procurement Cloud runs requisition to three-way match alongside an existing ERP. None publishes a price. These suit a central procurement team buying across many plants. For a closer look, see SAP Ariba alternatives for mid-size Indian manufacturers.

Spreadsheets and paper registers

They cost nothing and everyone knows them. But a typing error goes unnoticed, one sheet does not update another, and nobody can tell who changed a figure. This gets harder to manage as the factory grows.

How to choose: a checklist

  • Does it cover your full cycle: indent, approval, quotations, PO, GRN, stock and reports?
  • What happens to Tally? Ask to see the entry it makes, live.
  • How many people need to use it? Price the plan for that number, including approvers and the gate.
  • Can your store keeper use it after one short session?
  • Does it show the last rate paid when a PO is raised?
  • What is the full first-year cost, including setup, hosting and integration?
  • How long does go-live take for a plant your size, and what data must you prepare?
  • Can you test it with your own indents and quotations before you commit?

Common mistakes to avoid

  • Buying a system your store and purchase teams never fully use.
  • Pricing a plan for two buyers when twenty people will need to raise indents or approve.
  • Choosing on price alone and ending up with tools that do not connect.
  • Skipping a trial on your own data.

Frequently asked questions

What is the best purchase and store software for small manufacturers in India?

It depends on what you need beyond purchase. If accounts are the main need and you have a few users, Tally or Zoho Inventory may be enough. If you want one ERP for everything, look at SAP Business One or ERPNext. If you want to fix the purchase and store cycle and keep Tally, look at TranZact or IndustryPrime. Shortlist two or three and test them on your own data.

Can Tally manage purchase and store on its own?

TallyPrime records purchase orders, receipt notes and rejections, and reports on orders still outstanding. Check whether it covers the rest of your cycle, such as indents from departments, quotation comparison and approvals, or whether you would need a Tally add-on or a separate purchase tool.

Is there free purchase and store software?

ERPNext is free, open-source software; you pay for hosting and setup. Zoho Inventory has a free plan for one user and 50 orders.

How much does it cost?

As of October 2026, published prices range from free (ERPNext software, Zoho Inventory's free plan) to ₹10,000–₹30,000 a month for the factory tools that publish a price, and enterprise suites are quoted. Compare the full first-year cost for the number of users you actually need.

Do small factories really need it?

On thin margins, one emergency purchase at a high rate or one lot of dead stock hurts more. A connected purchase and store process shows both earlier.

The best way to judge any option is to try it with your own indents, POs and stock. To see IndustryPrime on your own data, book a free demo.
